Policy & Procedures
General
Be a part of your children's experience! Dorian has an Open Door policy and encourage parents to sit in with their children during their music lessons or view their children through the parent viewing window in each room. Students are asked to remove wet footwear during winter months and leave in the designated area. The waiting area is for parents and waiting students to relax in. We request that all waiting students/parents respect the lessons in progress by keeping the noise level to a minimum. The School reserves the right to speak to students and or parents about inappropriate behavior in the waiting area. As a general expectation, children should not be left unattended. Students are responsible for purchasing all materials assigned by their teachers. Any issues related to the school or lessons can be raised with the teachers. All issues will be resolved by the teachers and/or raised with the school administrator for resolution. If issues are not resolved satisfactorily, please talk to the school administrator for further assistance.
Weather Related Cancellation:
The school will cancel lessons due to inclement weather for the winter months. Should this occur, please check with the school by 1 pm of lesson day to hear of any cancellation notices. The school may call each student where possible, but does not guarantee that this will be possible due to enrollment numbers. It is the responsibility of each student to check for lesson cancellations. Lessons will be re-scheduled at a later date that is most convenient for both the teacher and student.
Music Books, Instruments and Accessories:
Students are expected to purchase any required material and/or books required by their teachers. Dorian School of Music has a small music accessories and instrument inventory. However, we have an ordering process that has a turn around time of one week on orders not currently available. If you don't see an item; talk to the administrator to order these items.
Registration, Payment & Cancellation
Registration will be for one full term starting in September to January and January through until mid June with the exception of Christmas and holidays. Please see attached detailed 2005 lesson schedule, at the end of this document. All lessons must be paid in full at the beginning of each term. Timeslots are allocated only after payments are received. Unless, you are on a monthly plan, in which case the first and last months lesson cost must be paid in full. Note: if you choose to go on the weekly plan, the fist two lesson cost must be paid in full. Each weekly cost must be paid on completion of the lesson. Upon cancellation of lesson, the last does not require payment since it was paid at the first lesson.
Upon registration, students are required to pay for lessons via the following means:
- One full term payment. (cash, cheque or credit card)
- Postdated cheques for full term, cheques are to be dated for the FIRST calendar day of each.
NSF cheques are charged $25.00 for administration cost. - Monthly credit card deduction. (MasterCard or VISA; credit card charges are posted the 1st of each month)
Dorian has a no cancellation policy on lessons. Our teachers must be paid for the times booked and if a student misses a lesson, the student will be charged for it. This includes planned vacations. However, if the teacher is willing to reschedule a lesson he/she may do so but is between the teacher and student to co-ordinate, please give a 24 hours notice of when a lesson is to be missed. The School can not guarantee make-up lesson resolution in this manner. It is purely based on the availability of the teachers. If a teacher is absent for any reason, a make up lesson or credit will be provided and every attempt will be made to notify the student of the absence prior to the scheduled lesson. School policy is not to provide teacher's phone numbers to students unless requested by the teacher.
If you wish to discontinue lessons, you must inform your Music School coordinator four (4) weeks in advance of cancellation - by calling the school phone number 384 9516. Students who stop taking lessons after registration will be billed for four lessons after the date they indicate their intent to stop.
Lesson Duration & Requirements
Lessons are 30 minutes in duration. Students are asked to arrive at least 5 minutes prior to the commencement of the lesson. If time becomes a discrepancy, the school clocks are to be deemed correct. If a student is late, the lesson will be shortened appropriately. Punctuality is the responsibility if the student and/or parents.
Progress Reports
Teachers will retain an open communication with parents regarding the child's progress throughout the term and parents are encouraged to speak to the teachers regarding the progress. At the request of parents, a progress report will be completed for the student's progress.
Performance Recticals:
As part of Dorian's curriculum we encourage all students to participate in our performances that takes place in December and June of each year. Exact dates will be publish as it becomes available. Tentatively set this year for December 20 2009 and June 27 2009. These dates are subject to change and will be communicated to all participants.
Term Schedules and Holidays
There will be no lessons during the holiday period as outlined below:
Fall Term 2008:
- Sept 2 through to Jan 31 (inclusive)
- Thanks Giving: Monday Oct 13 2008
- Christmas Break: December 22 through to Jan 4 (inclusive)
Winter Term 2009:
- February 2 through to June 30 (inclusive)
Holidays:
- Mid-term break: Mar 16 - 20 2009
- Family Day: Feb 16 2009
- Good Friday: April 10 2009
- Easter Monday: April 13 2009
- Victoria Day: May 18 2009
